Planning phase
 Design communication and execution action plan: Definition of the need, the target and the message. The actions will be broken down according to the plan and the controlled execution.

 Conceptualization, production and management of event budgets and search for suppliers and sponsors

 Turnkey coordination of production operations, promotion management and event press relations.

 Creation of visibility media and event communication :

Technical secretariat :
  • Creation of the conference logo and a dedicated official website.
  • Creation and database management of participants.
  • Registration creation and management.
  • Calendar of social events and gala evening.
Scientific secretariat :
  • Summary, design and creation of the scientific program.
  • Poster communication and design plan.
  • Support and communication of speakers, moderators and guests.
  • Publication of the final scientific presentations and communications.
Operative phase

Technical : Evaluation and readjustment of needs, risk management, installation, removal of audio visual material, info decor, scenography..quality control.  Hotel reservation :  management of rooms and booking center, customer confirmation, edition of Rooming-lists and quality control service._

Management catering : fixing and follow up of cocktail compositions, coffee breaks, buffet lunch, gala dinner, side event catering. Quality control.

 Printing and provision of Badges, brochure, invitation diner, Production, provision and management of Gift (Event Kit), Dressing of outdoor and indoor spaces of the event, various signs.

Establishment Business Center: hardware installation, maintenance, day-to-day management.

Interpreting : Recruitment of interpreters meeting international standards, needs assessment, intervention time management and quality control.

Reception, transfer and social programs : management of the reservation center, edition of planning transfers, management of the park and quality control service, billing.

Follow-up phase and quality control 
Proceed to close the accounts.

Send a letter to sponsors, speakers, personalities, etc. to thank them for their collaboration.

Collect participants’ opinions by email or newsletter.

To immortalize the event by setting up a link on which the video and photos retracing the highlights of the conference are downloadable… followed by the community managment.

General debriefing on the progress of the conference internally and externally.
